White Rock Christian Academy is seeking candidates for the position of Executive Assistant starting for the 2024-2025 school year.

Job Description

Responsible to:  Head of School

Responsible for:                              

  • Providing comprehensive confidential administrative support to the Head of School
  • Maintain discretion and confidentiality
  • Draft emails, manage communications, and book appointments
  • Gather research and assemble reports for the Head of School
  • Handle requisitions and receipt of goods
  • Maintain filing systems
  • Organize meetings, register for conferences, book and organize travel
  • Greet guests to the Head of School; Manage scheduling and screening for the Head of School
  • Key staff responsible for gathering and assembling documents for Ministry Evaluation and Monitoring Inspections

Communicate with the Board of Directors

  • Prepare information for meetings and retreats, including hospitality needs
  • Manage Society membership and administrative needs of Society meetings

Supporting Leadership Team

  • Perform secretarial and administrative tasks in support of Leadership Team; including setting up team meetings, managing communications from Leadership Team (i.e. CEBC, SCSBC, FISA, memos, letters, e-mail, etc.),
  • Perform other duties assigned by the Head of School to support the Leadership Team

Human Resource Responsibilities

  • Maintain employee database (including criminal record checks, teacher certification, onboarding of new staff)
  • Maintain leaves benefit database.
  • Maintain criminal record check database for all volunteers.
  • Provide information for Teacher Regulation Branch when needed.

Maintaining and updating school documents

  • Teacher Handbook
  • Parent/Student Handbook
  • Forms

Other Tasks

  • Manage all administrative aspects of multiple, annual international student trips
  • Vaccination coordination with Fraser Health
  • WRCA Hospitality – special events, pro-d days.
  • Coordinating Class Parent Representatives and Parent Action Group
  • Staff Devotions management
  • Assisting with Emergency Management Plan (including scheduling safety drills and OK Help Lists)
  • Maintain uniform store: volunteer organization, parent inquiries, key contact with supplier

Qualifications:

  • Committed Christian and regular participant in their local church
  • Able to commit and adhere to WRCA’s Statement of Faith and Community Standards
  • Excellent organizational, multi-tasking, and problem-solving skills
  • Exceptional verbal and written communication skills with ability to translate information into concrete and understandable terms for a variety of audiences
  • Interpersonal skills; ability to establish and maintain effective working relationships with all levels of internal and external stakeholders
  • Ability to be sensitive to and work with confidential data
  • Team player who shows initiative; independent decision maker in support of the Head of School
  • Ability to prioritize, yet remain flexible to shifting priorities and last-minute requests
  • Proficiency in MS Office (Word/Excel/Powerpoint/Outlook)
  • Experience with various software programs/databases (Zoom and Teams)
  • Ability to use InDesign and entire Adobe Suite an asset
  • Minimum university or college level training (diploma) is preferred. Experience in business administration, public relations, marketing, or communications is an asset.
  • Successful criminal record check is a requirement
