Hot Lunch Notes and FAQ

WRCA offers a Hot Lunch Program throughout the school year and is facilitated with the gracious help of volunteers.

Ordering Windows:

There will be 3 ordering windows from January to June 2026 as follows:

  • January 12 – February 27, 2026
  • March 2 – May 1, 2026
  • May 4 – June 12, 2026

Delivery Times:

  • Senior School:  11:20am
  • Junior School:  12:20pm

Important Notes:

  • ASK YOUR TEACHER FOR FIELD TRIPS DATES PRIOR TO ORDERING. It is the responsibility of the parents to NOT order hot lunch on days when students will be away at school events or absent due to prior family arrangements.  Once the Hot Lunch ordering window closes, all requests for changes must be made by the designated deadline for each ordering window by emailing hotlunch@wrca.ca.  No further changes or additions will be accepted thereafter.
  • PLEASE NOTE THAT ORDERS WILL STILL BE PROCESSED EVEN IF PAYMENT HAS NOT BEEN SUBMITTED VIA PAYPAL.  PLEASE ENSURE PAYMENT IS SUBMITTED WITHIN 24 HOURS OF THE ORDERING DEADLINE.
  • PLEASE DOUBLE CHECK ALL ORDERS PRIOR TO SUBMISSION, AS THE SYSTEM DOES NOT ALLOW FOR CHANGES TO BE MADE BY THE USER ONCE SUBMITTED.

Please note that all unclaimed Hot Lunches are made available to Staff after 12:45pm.

What to do if my child is sick or absent from school?

Option 1: Transferring Lunches within Junior School

If both children are in Junior School, please email both children’s teachers to coordinate the transfer of lunches between siblings. Make arrangements with teacher to have one sibling, go to the absent sibling’s classroom to collect their hot lunch. Please note that for health and safety reasons, we are unable to transfer lunches to students that are not siblings without explicit parental permission. Please email hotlunch@wrca.ca for authorization.

Option 2: Pickup at Front Office

If you would like to pick up your child’s lunch at the front office or to coordinate the transfer of lunches between Junior and Senior school, please email hotlunch@wrca.ca by 9:30 am the day of, to request for front office pickup between 1:00-3:30pm.  Please include:  Student’s name, Teacher’s name, and date requested in the email (Example. Michael Jones in Ms. Karram, Gr. 2.2 for January 12, 2026).  Past 9:30am, we are unable to ensure the requests can be accommodated.  We are not able to store or keep lunches past 3:30pm.  

Picking up for others at the Senior School line up:  If you would like someone else to pick up your child’s lunch,  please ensure to email hotlunch@wrca.ca in advance (by 9:30am for same day requests), as hot lunches are only released with authorization.  Please ensure a staff member has replied to your email to ensure that your request has been processed.

How can I add more items after submitting an order during the Hot Lunch ordering window?

Once an order has been placed, the system does not allow the user to make any changes.  If the ordering window is still open, and you would like to add more items to an order, you may do so by creating a new profile.  Simply create a new profile and add a ‘+’ sign after the name (Example. Chloe+).  This way we know it’s a secondary account.  Please keep track which dates you have already ordered from, and place orders on intended dates only.

The Hot Lunch window has closed, can I make changes to an order?

If the ordering window has closed, the user cannot make any changes to a submitted order.  All changes must be made by the school administrator. Please contact hotlunch@wrca.ca. Please note that all requests for changes must be made by the designated deadline for each ordering window.  No further changes or additions will be accepted thereafter.
